Word processing in a European Language on the Loyola College in Maryland network

A. To begin a document in a foreign language:

1.insert your diskette

2. open WORD if it is not yet open (NB: at Loyola, the 2000 version has thesauri and spell-checkers.)

3. Format the document: choose Tools/Language. Then choose your language from the menu.

4. You can either a. type with the standard US keyboard (see "how to" for typing accented letters below); or b. change to the foreign language keyboard (see following pages).

5. When you are ready to spell-check, go under Tools/Spell and run the spell-check as you would in English. Note that you can check spellings by using the right click on a chosen segment.

6. For certain languages, you may need to DEACTIVATE autocorrect or some feature of it. Under Tools, select Autocorrect. A scrollable screen will come up; you can choose certain words and delete them. For Italian, for example, you do not want "i" to be automatically changed to "I" since this is the definite article, masculine plural! Highlight the "I"-i, then, using the mouse, click on delete at the bottom of the screen. (Note: in Word 2000 and above, setting a new Default Language as indicated in procedure #3 above, should eliminate the need to adjust your Autocorrect Settings, since Word will do this for you based on the language you have chosen.) 

7. Remember, a spell check does not correct all errors. You will still need to verify gender and number, as well as word order, if a phrase comes up with a green underline. Take your dictionary with you!

8. You will see RED and GREEN "squiggles" under words or phrases in your text. If you select that portion of the text and RIGHT click on it, you will get a spelling suggestion (for RED) or grammar/stylistic suggestion (GREEN). ** comments in the grammar-checker are IN THE LANGUAGE, not English!************


 


B. To write accented letters with an English keyboard:

"For the standard Windows characters, press Control and the mark you need (e.g. ~,^,etc.) Then press the letter. Here is a listing of those keystrokes:

For à è ì ò ù press Ctrl+` and a, e, i, o, u, A, E, I, O, or U.

For â ê î ô û press Ctrl+^ and then the letter.

For á é í ó ú ý press Ctrl+´ and then the letter.

For ä ë ï ö ü ÿ press Ctrl+: and then the letter.

For å Å press CTRL+SHIFT+@, a or A

For æÆ œ Œ ß press Ctrl+& and a, A, o, O, or s.

For ã Ã ñ Ñ press Ctrl+Shift+~ and a, A, n, or N.

For ð Ð press Ctrl+´ and d or D.

For ø Ø press Ctrl+/ and o or O.

For ç Ç press Ctrl+, and c or C.

For ، or ؟ press ALT+CTRL+SHIFT+! or ALT+CTRL+SHIFT+?.

PLEASE DON'T FORGET TO SAVE YOUR DOCUMENT ON A:, YOUR DISK!!


 


C. How to set up Language Modules for the Office 2000 Suite (on the Loyola College in Maryland Novell Network).

If you attempt to choose a foreign language under Tools and find that they are not available, you must do as follows.

The modules for Italian, French, German and Spanish are available on the network. Each module for each language must be set up individually. The set up is very easy and only takes a few minutes.

1. Make sure that you are logged in to the network.

2. Choose RUN from the Start menu (at the bottom left of your screen).

3. Clear the contents of the RUN box (if any) and type the following:

f:\office97\office\proof\****LANGUAGE****\setup.exe /s

Note: Substitute spanish, french, german, or italian for ****LANGUAGE****.

4. The screen will flash a message saying that it is working, and the hourglass will appear. When the hourglass goes away you are done.

5. Repeat for each language to be installed.




D. How to load foreign keyboard(s)

1. From "windows" desktop, click on "My Computer" icon; Click on "Control Panel" icon

or, from "start" choose "settings" then "control panel"

2. Click on "keyboard" icon

3. Click on "language" in upper left-hand corner of new window (on folder name)

4. Select "add"

5. Scroll down to the language desired (French (standard); German (standard); Italian (standard); Spanish (modern sort))

6. Choose how you would prefer to go back and forth between the English keyboard and whether or not you want the language abbreviation to appear on the taskbar (in the bottom right-hand corner)

7. Select "ok"

The new keyboard will take about 5 seconds to load, and after that you can type in that format any time just by toggling out of "English"

Note: if you are doing this at home away from the Loyola network, you will need your original disk(s) or CD-Rom to install the new language.
