Testing Accommodations for Students with Disabilities

Accommodations for exams are sometimes recommended for students registered with Loyola College’s Disability Support Service’s (DSS) Office. Students who have test or exam modifications as one of their academic adjustments have provided the College with medical or psychological documentation of disability which supports the request for an exam modification. A faculty member will know that a student has recommendations for testing accommodations from letters that the student request from DSS each semester. The student is responsible for providing these letters to professors and discussing the recommended accommodations. The student, professor and DSS work together to make the arrangements for each test, quiz or exam

TEST ACCOMMODATION PROCESS

Student's Responsibilities: 

After conferring with his or her instructor, a student should notify the Accommodations Coordinator a week before the exam if DSS is needed to make arrangements to have an exam proctored.  This can be done by accessing the Student Alternative Testing Request Form at www.loyola.edu/dss/test, by e-mail at testingrooms@loyola.edu, or by telephone at (410) 617-2750. The student must provide the faculty member’s name, course, and the date and time the faculty member approved for the student to take the exam.

Accommodation Coordinator’s Responsibilities:

The Accommodations Coordinator oversees the reservation of a space; arrangements for a proctor (or a reader, scribe or adaptive technology); and calculation of the amount of time the student will receive. A confirmation will be sent to both the student and the faculty member once arrangements are made through the e-mail address testingrooms@loyola.edu.

Faculty's Responsibilities: 

Upon receipt of an e-mail with the Faculty Alternative Exam Request Form link information, the faculty member should complete the form and submit it. The e-mail will also explain that the faculty member is responsible for getting the exam to The Study or the DSS Office. Methods of delivery will be listed, and include faxing, e-mailing an attachment, or hand-delivering.  

Proctor’s Responsibilities: 

Proctors will administer the test using the guidelines outlined by the faculty member and the accommodations approved for the student by the DSS Office. The proctor will check the student’s identification before the exam; have the student sign the Honor Code Pledge; and take the student’s belongings. Personal belongings are not allowed in testing rooms (e.g., backpacks, purses, cell phones, and study materials) and a proctor can store these items, but security is not guaranteed. The proctor monitors the student during the exam, takes the exam when the allotted time is up, seals the test in a security envelop, and places it in a lockbox for pick up or delivery.

Test Return:  

Completed tests are returned in sealed security envelopes via a DSS student worker. One delivery is made per business day. DSS tries to return test to the department within twenty-four (24) business hours. A department representative must be available to sign for the test. Tests that cannot be signed for will be returned to The Study or the DSS Office, and placed in the lockbox until the next day’s delivery. If preferred, faculty members may pick up tests, and this preference should be noted on the Faculty Alternative Exam Request on-line form.
