Office Procedures

Office Supplies:

Office supplies for your use are available in the closet at the east end of the building and in the cabinets in the student staff office. Please do not take these supplies home for personal use. If you need office supplies that are not available in either location, we can order them to be delivered within 48 hours. Supply orders are placed weekly on Wednesday mornings. Catalogs are available. To order supplies, list the item desired, the number required, the item order number and the page number. This information should be given to the Program Assistant.

Button Maker:

The Button Maker is a fun tool that you can use to creatively promote your service organization, make nametags, or use for other ideas you may have. Submit a service request to the Creative Assistants to help you create a graphic, and then watch the video to understand how to use this apparatus.

Copier:

The copier is for Center for Community Service and Justice related work. The copier completes multiple tasks (double sided copies, collating, wholes-punching and stapling) if working properly and programmed correctly. Students may access the copier by using the access card available between 8:30am–5:00pm, Monday through Friday at the front desk. If more paper is needed there is also a key available to unlock the paper cabinet. Copies in excess of 50 should be taken to Central Duplication for completion. (See the Forms section for assistance in filling out the printing requisition).

Fax Machine:

The CCSJ fax number is 410-617-5092. The fax machine is part of the copier (as well as the scanner). Documents to be faxed should be placed face up. On-campus faxes can be transmitted by dialing the 4-digit department fax number and pressing the start button. Local calls can be transmitted by first dialing 9 for an outside line, the area code, and the 7-digit phone number followed by pressing the start button. Long distance calls can be transmitted by first dialing 9 for an outside line, 1 for the long distance access, the area code and the 7-digit telephone number followed by pressing the start button.

Laminator:

Lamination is a great way to make fliers last longer and endure outdoor weather. If you have around 20 fliers that need to be laminated, it is a good idea to use the office laminator. If you have more than this, it may be easier to ask for the flier to be laminated at Central Duplication when you submit for printing.

Scanner:

Scanning is an eco-friendly way to distribute information to your volunteers. It is also a helpful alternative if the fax machine is not working. Just scan the item you are trying to fax and e-mail it to your recipient!
