Stipend Entry Workflow for Approvers

Once the stipend is properly entered by the initiator, an email will be sent to the initiator’s supervisor, who is the person responsible for approving their stipend requests.

The approver will be told to go to Employee Self-Service to approve or reject the stipend.

To approve a stipend request, go to Inside Loyola, then go to Resources for Employees at the bottom of the page and click on Employee Self-Service.

Click on Employee

Click on Stipend Request Approvals

Select the appropriate stipend # and employee name from the “Needing Approval” drop-down menu. 

This will populate all of the information from the Stipend Request Form, which should be reviewed by the approver.

If the stipend is ok, then the approver needs to select “click here to approve” and click the Submit button.

If the stipend has been marked as being paid by a grant, an email will be sent to the people in the grants area designated to approve this stipend. If the stipend is not paid by a grant, then an email will be sent to HR for further review of the stipend.

Issue with Stipend

If the approver has a problem with the stipend, then the approver needs to select “click here to not approve”.  They will also need to enter a reason as to why they are rejecting the stipend request and the click the Submit button:

The initiator will receive an email informing them that the stipend has been rejected and why. They should then return to Employee Self-Service and submit a NEW stipend request with the corrected information. 

The approver will then be informed that the stipend is ready for approval and can approve the stipend request.

Stipends Paid by Grants

If the stipend has been marked as paid by a grant, the person designated to approve these stipends will need to approve the stipend. 

If the grants approver has a problem with the stipend, the initiator will receive an email informing them that the stipend has been rejected and why. The initiator should then return to Employee Self-Service and submit a NEW stipend request with the corrected information. 

The initiator’s approver will also receive an email informing them that the request has been rejected and that is has been sent back to the initiator to submit a new request.

After the initiator submits a new request, it is sent to their supervisor to be approved. When the request is approved by the supervisor, the grants approver will be informed that is stipend has been submitted for approval.
