Title:
• Event Services and Auxiliary Management Conference Assistant (CA).
Job Summary:
• Under the supervision of the Director of Event Services and Auxiliary Management, this position is involved in all aspects of the summer conference program.
Primary Job Duties:
• Prepare rooms for conference guests. This includes, but is not limited to, making beds, providing towels and amenities, performing light housekeeping, and collecting used linens.
• Report necessary maintenance problems, inadequate room set-ups, and low inventory of linens, amenities, or related items.
• Work at the Guest Services desk to facilitate check-in and checkout.
• Respond to customer questions and concerns in a prompt and courteous manner. Every employee will receive training on how to respond quickly and effectively to guest needs and concerns.
• Assist full-time logistical staff with setting up and breaking down facility or event arrangements. This includes tables, chairs, staging, tarps, multi-media equipment, lighting and sound systems, or related equipment.
• Other duties as assigned.
Expectations:
• Attend mandatory training session, and subsequent staff development sessions.
• Be flexible with respect to other duties and/or projects assigned by management.
• Project a positive, service-oriented image to each other and all customers of the campus.
• Maintain a constant dialogue between the Associate Director and other members of the staff using several forms of communication including paper, electronic, and wireless systems.
Work Schedule:
• Each day you will work with a team and a team leader. Each team is responsible for completing the job duties assigned for the day. If assignments are done improperly, the responsible team will correct the problems.
• A weekly schedule will be posted to indicate which staff members will be assigned to room preparation teams, Guest Services desk, or set-up support.
• Five days of unpaid vacation is granted to each staff member during the summer. Days off must be requested well in advance, and must be approved by authorized supervisory staff. Requests may be denied based on peak conference times.
• Although the Guest Services desk hours of operation are 7:00 AM to 10:00 PM; staff will be scheduled according to the individual needs of the conference group. Teams are usually scheduled from 8:30 AM to 5:30 PM, however a large degree of flexibility is required for this position. Everyone is required to be "on-call" for at least one conference. This includes answering questions, solving problems, and responding to emergencies after the Guest Services desk is closed.
• Student employees are not encouraged to take on additional jobs. Work schedule conflicts will not be an excuse for unavailability. One summer class per session is permitted. Class schedules must be submitted to the supervisor.
Compensation:
• Event Services values its employees and provides an aggressive compensation package. In conjunction with a competitive salary, campus housing (each staff member will have their own bedroom), utilities, local phone service and basic cable is provided to our summer staff. Performance evaluations with raises may occur during the summer depending on staff performance.
Employment Period:
• The summer is tentatively set from May 10, 2004 to August 20, 2004. There will be one paid orientation/training day in May that is mandatory for all summer staff.
