A6a. Cancelled Periodicals
Search title from cancellation list in SHARC (start with Journal Title<
search)
Check the 599 field; does it match the beginning date on the cancellation
list?
If yes, go to the MFHD

- Update MFHD
- Use CanPerMFHD1 macro [ALT+CTRL+l] (letter l not 1)
- Update volumes in 866; use multiple 866 fields if there are gaps
- Delete original 852 field
- Update Leader , Type of Record, to y
- Use CanPer008 macro [ALT+F8]
- Save record to SHARC

- Return to bib record
- Delete the following fields: 012, 898, 998
- For records with 049 of LOYY, also delete: 090, 590, 599
- Save record to SHARC
- Check for earlier title(s) listed in 780 field(s) and also update
these using information in the 599. Keep MFHD 866 indicator 1 as a 3
to indicate the holdings have not been verified by checking the
shelves.
- For earlier titles, update the 008 using the Alt+F8 macro and
then change the following fields:
- Receipt Status: 2
- Cancellation Date: blank (none)
- Completeness: 1 (if only lacking a few volumes; leave at 2
if many vols are lacking)
- Other:
- If the beginning date on the cancellation list does not match
the beginning date in bib field 599, check Denise's Roladex
- If the ending date on the cancellation list looks strange given
the cancellation date of Dec. 2001 for subscription year 2002 check
Denise's Roladex
- If notes on the cancellation list indicate non-bound issues or
gaps, check the shelves and do level 4 holdings (For example of
level 4 holdings, see: Records of the American Catholic Historical
Society of Philadelphia)
- If the shelving title does not match the bib record 245 title,
add the shelving title to the 852 field in a |l (letter l) (For
example of shelving title, see: Records of the American Catholic
Historical Society of Philadelphia)
- If a 590 or 599 note indicates incomplete volumes, add the information
as a |z in the 866 field and highlight the title on your list so
the holdings can be updated to level 4 later. Example:

If there are any additional processing instructions given in the
852, move them to a 583. See above example.
- If you run into any situations not covered here, or you have any
questions, ASK!
