Evergreen Associates Mission Statement: Evergreen Associates, a student-run, co-curricular public relations agency in affiliation with Loyola College, is committed to providing creative, quality public relations services for nonprofit clients in the Baltimore area. Associates who work in this agency gain knowledge through experiential learning practices by applying theoretical principles they have learned in the classroom. Objectives: - To be able to successfully service three or four clients simultaneously (receiving a client satisfaction rate of 85%).
- To learn through hands-on experience what it is like to start a business or company.
- To learn how to be an effective and respected leader in public relations management.
- To establish Evergreen Associates as a community service opportunity for public relations students centered around their field of study.
Officer Positions and their Duties: President: The position of Evergreen Associates' President is a one-year term of office. For the 2004-2005 school year, this is an appointed position; in subsequent years, the position is an elected office by a simple majority of active, voting members* of EA. The President is responsible for: o calling, planning, and chairing all EA meetings on a bi-weekly basis throughout the school year and on winter and summer breaks as needed. Should the President be unable to convene a meeting, one of the two VPs will conduct the meeting in the President's place; o ensuring at the beginning of each school year that EA is a student activity group in good standing with the Loyola College Office of Student Activities; o managing the work of EA and the activities of EA members in consultation with the Faculty Advisor and the other executive officers. o creating an atmosphere of teamwork, collaboration, camaraderie, and open honest communication among the members of EA and its client organizations; o upholding the spirit and letter of Loyola College Code of Student conduct for all EA activities and business; o recruiting, with the help of Faculty Advisor and the other executive officers, students for active membership in EA; o recruiting, with the help of Faculty Advisor and the other executive officers, non-profit clients in the Baltimore area for EA; o supervising the marketing, publicity, and PR business of EA to the Loyola Community, to its clients, and to the wider public relations community. o performing other duties and roles as needed in consultation with the Faculty Advisor and the other executive officers.
Vice-President, Client Services: The position of Evergreen Associates' Vice-President, Client Services is a one-year term of office. For the 2004-2005 school year, this is an appointed position; in subsequent years, the position is an elected office by a simple majority of active, voting members* of EA. Vice-President, Marketing: The position of Evergreen Associates' Vice-President, Marketing is a one-year term of office. For the 2004-2005 school year, this is an appointed position; in subsequent years, the position is an elected office by a simple majority of active, voting members* of EA. The Corresponding Secretary is responsible for: o attending all EA meetings on a bi-weekly basis throughout the school year and on winter and summer breaks as needed. Recording Secretary: The position of Evergreen Associates' Recording Secretary is a one-year term of office. For the 2004-2005 school year, this is an appointed position; in subsequent years, the position is an elected office by a simple majority of active, voting members* of EA. The Recording Secretary is responsible for: o attending all EA meetings on a bi-weekly basis throughout the school year and on winter and summer breaks as needed. Should the President be unable to convene a meeting, one of the two VPs will conduct the meeting in the President's place; o taking comprehensive notes during EA bi-weekly meetings and publishing those minutes via e-mail and the EA Blackboard site; o upholding the spirit and letter of Loyola College Code of Student conduct for all EA activities and business; o assisting in recruiting, with the help of Faculty Advisor and the other executive officers, students for active membership in EA; o assisting in recruiting, with the help of Faculty Advisor and the other executive officers, non-profit clients in the Baltimore area for EA; o performing other duties and roles as needed in consultation with the Faculty Advisor and the other executive officers.
Treasurer: The position of Evergreen Associates' Treasurer is a one-year term of office. For the 2004-2005 school year, this is an appointed position; in subsequent years, the position is an elected office by a simple majority of active, voting members* of EA. The Treasurer is responsible for: o attending all EA meetings on a bi-weekly basis throughout the school year and on winter and summer breaks as needed. Should the President be unable to convene a meeting, one of the two VPs will conduct the meeting in the President's place; o managing EA budgets and expenses; o creating and monitoring a timeline of bi-weekly expense requests to the Office of Student Activities; o handing all EA funds, including cash, checks, and receipts for charges and services; o ensuring that EA funds are safely held and disbursed to the appropriate parties, including, when necessary, to officers, EA members, vendors, contractors, and clients; o upholding the spirit and letter of Loyola College Code of Student conduct for all EA activities and business; o assisting in recruiting, with the help of Faculty Advisor and the other executive officers, students for active membership in EA; o assisting in recruiting, with the help of Faculty Advisor and the other executive officers, non-profit clients in the Baltimore area for EA; o performing other duties and roles as needed in consultation with the Faculty Advisor and the other executive officers.
Faculty Advisor: The position of Evergreen Associates' Faculty Advisor is a one-year term of office, renewable yearly. The faculty Advisor is responsible for: o attending all EA meetings on a bi-weekly basis throughout the school year and on winter and summer breaks as needed; o monitoring and advising on the work of EA executive officers and the work and activities of EA members in consultation with the executive officers. o helping the executive officers create an atmosphere of teamwork, collaboration, camaraderie, and open honest communication among the members of EA and its client organizations; o encouraging the executive officers in upholding the spirit and letter of Loyola College Code of Student conduct for all EA activities and business; o assisting in recruiting, with the help of the executive officers, students for active membership in EA; o assisting in recruiting, with the help of the executive officers, non-profit clients in the Baltimore area for EA; o providing all other necessary types of support for EA officers and members as needed in consultation with the executive officers.
*Active EA Member: An active, voting member is a current Loyola College Sophomore, Junior, or Senior who has a signed Membership Agreement on file with the EA Recording Secretary, regularly attends EA bi-weekly meetings, and actively participates in EA projects. Active EA Members are responsible for: o attending all EA meetings on a bi-weekly basis throughout the school year and on winter and summer breaks as needed; o working as requested on EA projects and the activities in consultation with the executive officers. o maintaining an atmosphere of teamwork, collaboration, camaraderie, and open honest communication among fellow members of EA and its client organizations; o upholding the spirit and letter of Loyola College Code of Student conduct for all EA activities and business; o assisting in recruiting, with the help of Faculty Advisor and the other executive officers, students for active membership in EA; o assisting in recruiting, with the help of Faculty Advisor and the other executive officers, non-profit clients in the Baltimore area for EA; o performing other duties and roles as needed in consultation with the executive officers. Club Continuation: Evergreen Associates will continue its activities year to year by recruiting associates and clients starting at the beginning of each academic year in the fall. Some recruiting may also take place over the summer months by the elected executive officers and faculty advisor. Evergreen Associates will also have a table at the student activities fair in the fall to recruit new associates.
