Graduate Assistantship for Operation and Budget

Hours & Wages

The GA position will be part-time position, 15 hours per week for 16 weeks, beginning the third week in January.  The GA will be compensated a total of $3900: Tuition remission $1,950 (50%) and Stipend $1,950 (50%). The GA may also choose a 40% stipend and 60% scholarship distribution.

  • Maintain regular office hours and a frequent presence in Campus Ministry office for 15 hours per week
  • Be flexible with regard to specific duties and willing to assist with outside projects when needed.
  • Experience in accounting and budgeting preferred, but not required.
  • Demonstrate competence in the the computer applications, especially Excel and Word; demonstrate ability to learn My Budget system

Responsibilities

  • Assist with the office operational projects and tasks
  • Engage in regular supervision meetings with Program Assistant
  • Regular data entry of all transactions to Campus Ministry Budget Book; Coding all transactions online at PNC Bank website for all Pro-Staff on a regular basis
  • Maintain accurate records of all transactions in Campus Ministry Budget Book
  • Reconcile Campus Ministry Budget Book with Loyola online budget system – My Budget
  • Prepare monthly credit card statements, including collecting all professional staff receipts, coding transactions into the PNC online system, and maintaining in-house records of all transactions.
  • Provide Campus Ministry budget status summary report on a regular basis or when required
  • Report any financial discrepancies in a timely manner to the Program Assistant and troubleshoot any problems relate to all transactions
  • Coordinate ongoing budget transactions within the department as well as outside the department
  • Communicate regularly with Program Assistant and staff as needed
  • Manage and maintain effective filing system both electronically and hard-copies
  • Assist in reconciling and closing the fiscal year budget
  • Attend on-campus training days (Dates TBD)
  • Attend occasional staff meetings and formation days throughout the academic year (Dates TBD)
