A Message to Long Distance Travelers
For greyhounds who live in western states (California, Oregon, Washington, New Mexico, Colorado, Hawai'i) as well as those who live outside the 50 states, a member of Residence Life & Housing will be in contact with you individually to discuss your travel and move-out plans, but please do not hesitate to e-mail us at studentlife@loyola.edu with immediate requests.
To our students who may be traveling from far distances, please know we are committed to adapting our plans to meet your needs. We know you may need additional time or flexibility. Please reach out to us by e-mailing studentlife@loyola.edu so we can meet needs on at the individual level.
State by State Move-Out Timeline
Stay at Home Orders Currently Lifted
- On May 18, the second round of move-out invitations were sent directly to students residing in states (or counties & regions where applicable) that had lifted stay at home orders.
- On May 21, the third round of move-out invitations were sent directly to students residing in Connecticut, Massachusetts, and reopened counties in Pennsylvania and New York
- On May 26, the fourth round of move-out invitations were sent to newly reopened counties in Pennsylvania and New York as well as students from western states.
We are monitoring updates daily and will move as efficiently as possible for newly opened counties to grant you access to schedule an appointment. Please allow at least 48 hours from the time of your county’s announcement before reaching out to us.
Re-opening Soon
Between May 26 - June 8, we will continue to send move-out invitations on a rolling basis with all students receiving an invitation by June 8.
- Residents of New York State should refer to ny.gov to determine if their county has reopened for phase one.
- Residents of Pennsylvania should refer to health.pa.gov to determine if their county has moved to the yellow phase.
- Residents of Virginia should refer to virginia.gov
- Residents of New Jersey can view all of Gov. Murphy's executive orders at nj.gov
- Delaware, Michigan, and Illinois are scheduled to lift their stay at home order by June 1.

Remaining States & Counties - June 10-22, 2020
For those students living in states, counties, or areas where "stay at home" orders have not been lifted and are not scheduled to be lifted by June 1, please plan on scheduling an appointment to return to campus between June 10-22.
Invitations to schedule those appointments will be sent directly to students by June 8 at the latest.
While we anticipate improvements in current metrics by that time, we also will continue our rigorous social distancing and precautionary measures to ensure limited personal interactions and a safe environment while students are present on campus.
Accommodations through Disability Support Services
Students with disabilities who require an accommodation for the move out process or other assistance to safely move out of their residence should contact Disability Support Services at dss@loyola.edu. Students who are not already registered with DSS may need to provide documentation in support of their request.
While restrictions are being lifted, we must reiterate that we are all still very much in the midst of this pandemic. We are taking precautions on campus to ensure everyone’s safety (including our students, families, and staff.) These measures only work if every member of our community upholds them and does their part.
With your cooperation and care for each other, we are confident that this adapted move-out process will efficiently allow you to check out of your space while protecting the health and safety of yourself and your fellow Greyhounds. Our process is built around the following overarching aims:
- Maintaining a very limited number of people in a given space
- Requiring the use of face masks and other protective measures
- Cleaning and disinfecting surfaces that are frequently touched
As a key component to this process, we will be asking residents to sign up for a 4-hour window by which you will have access to your building to retrieve your belongings, clean your space, and return your key.
We are currently offering appointments between May 28-June 15.
When choosing an appointment, please be mindful of other business you need to take care of while on campus. Do you have to return books? Do you have a package at StampIt? Do you need to coordinate with Athletics to access the locker room? Please be mindful of the following schedules:
- Bookstore (book returns only) – Open Monday-Friday from 9am-5pm on June 1 -15
- StampIt (mail and shipping) – Open Monday-Friday from 9am-5pm on June 1-15
- Athletics – Consult with your coach for available times between June 1-15
On each available day, there are four possible move-out time slots:
- 8am-noon
- Noon-4pm
- 4pm-8pm
- 8pm-midnight (and overnight)
We are mindful that a number of our students may be traveling from further distances. For students who would like to stay overnight in their room, we encourage you to select the 8pm-midnight shift. Beyond this option, we are committed to adapting this process to meet the needs of students who are travelling long distances. Please e-mail studentlife@loyola.edu with specific requests.
The entire process will be self-guided in order to limit the number of people in the hall at any given time. Students will use their RoomRez Housing Portal both to schedule their appointment before arriving on campus as well formally checkout of their spring housing using the Online Self-Checkout Form. Students will return their key to an area mailbox located in or near their building.
- Available time slots for move-out are based on where you live and separated by floor/community. While there may be peers who are also moving out of your building at the same time, you will be the only person on your wing moving out during your time. The easiest way to think about it: if you and another resident have the same RA and live in the same building, you would not be scheduled at the same time slot.
- For those of you who live in buildings with elevators, there will be a green moving bin waiting for you on your floor when you arrive to help with the move. Additionally, we highly encourage all students to bring their own handcarts, bins, boxes, or anything else that might help expedite their move-out.
- All residents and visitors are expected to wear face masks while they are in the residence halls. We also ask that all are mindful of potential interactions in shared lobbies, elevators, and stairwells. Please maintain at least 6 feet of space between yourself and others and avoid sharing elevators or other narrow spaces.
- The phenomenal members of Loyola’s facilities staff will be disinfecting high-touch surfaces (elevator buttons, door handles, etc.) at least twice per day. Any assistance you can provide in maintaining a hygienic space is appreciated.
- While you’re on campus, our staff will be available by phone to answer any questions or assist in any way possible. It goes without saying that we are disappointed we won’t be able to assist you in person, but please know that we are only a phone call away.
- Look for signage in your halls explaining how to call a staff member, how to donate food items, and how to return your key.
- Once you have removed all of your belongings and returned your key, we ask that you complete the Online Self-Checkout form which you will be able access in your RoomRez Housing Portal.
General Questions
When can I come to campus to retrieve my belongings?
Students will be able to schedule an appointment to come to campus to retrieve their belongings. We are offering appointments on a state by state basis. Residence Life & Housing will reach out to students by e-mail when it is time to schedule an appointment.
How long will I have to move all of my belongings out?
We are asking students to make every effort to remove all of their belongings, clean their space, and return their key within their 4-hour appointment time slot.
How are you ensuring that the halls won't be crowded during move out?
Every student will be asked to sign up for 4-hour move-out time slot. Available timeslots for moveout are based on where you live on campus and separated by floor/community. While there may be peers who are also moving out of your building at the same time, you will be the only person on your wing moving out during your time. The easiest way to think about it: if you and another resident have the same RA and live in the same building, you would not be scheduled at the same time slot.
What guidance will I be expected to follow regarding Social Distancing and other protective measures while on campus?
- Students and guests must agree to wear a face mask for the duration of their time on campus
- Students and guests must maintain a distance of at least six (6) feet from others on campus and avoid sharing tight spaces like elevators and stairwells.
- Please do not come to campus if you are currently caring for a sick family member with COVID-19 symptoms or if you are currently experiencing or have experienced in the past 24 hours any of the following:
- If utilizing a provided Green Moving Bin, visitors are expected to wipe down the bin before and after use
- Please note: The Environmental Services team will be cleaning and disinfecting surfaces that are frequently handled including elevator buttons and door handles. Signage in residence hall spaces will reinforce measures regarding social distancing and recommendations for cleaning of shared spaces and surfaces.
What should I bring with me when I come to campus to move out?
Please make sure you have your Loyola ID and your room key. Please also bring a face mask for every member of your moving party along with any cleaning supplies to assist you in move-out and maintaining a hygienic environment for everyone.
My roommate lives farther away or just isn't able to make it to campus. Can I move their belongings out for them?
- Yes and thank you! We know there are many students who are currently unable to make the return to Baltimore. If you are able to move their belongings for them, we know they will appreciate it. If you believe you will need additional time during moveout because you are moving out more than just your own belongings, please e-mail studentlife@loyola.edu so we can extend your time. All resident students are still responsible for completing the Online Self-checkout form.
- Please remind the student you are assisting to complete this form through the RoomRez Housing portal.
I have a disability or serious chronic health condition and need an accommodation for the move out process. Who should I contact?
Students with disabilities who require an accommodation related to the move out procedures can contact Disability Support Services (DSS) at dss@loyola.edu. If you are not already registered with DSS, you may need to provide documentation to DSS in support of your request.
Due to my particular circumstances, I have no idea how I will retrieve belongings at all. What can I do?
We strongly encourage individuals who cannot make arrangements to come to campus to consider identifying a Loyola community member (such as roommate or friend), a local non-Loyola friend or family member or Dorm Room Movers to pack your belongings in your stead. If none of these options are possible for you, please contact Residence Life & Housing at studentlife@loyola.edu so we can find a solution with you.
Appointment Process
How do I make an appointment?
Appointments can be made using the RoomRez Housing Portal. Access the RoomRez Housing portal through www.inside.loyola.edu under "Quick Links." Along the tabs at the top of the page, select "Appointments" and complete the prompts provided. Only timeslots more than 36 hours away will be visible.
What if my plans change, and I need to reschedule?
Students can cancel their appointment through the RoomRez Housing Portal. Please keep in mind that new appointments cannot be made within 36 hours of any selected move-out timeslot.
If I sign up for the 8PM night can I sleep over so I'm not driving back late?
Yes! We specifically created the 8pm time slot for students who may be traveling from farther away. Students will be able to access their room starting at 8pm and will have access to the building until 8am the following day.
Can I sign up for multiple timeslots? Can I get some of my stuff now and then return later to get the rest of my belongings?
- No, students returning to campus will be required to check-out of their residence hall room completely. We will not be permitting individuals to return to campus after their move-out appointment. Any belongings that remain in the residence halls after the move-out period concludes will be disposed of.
- Every student is only allowed to select one 4-hour time slot (unless they have been granted an exception by Residence Life & Housing.) Students who travel to campus outside of their confirmed move-out time will not be able to access the exterior entrances to the residence halls and may be referred to the student conduct process. For the safety of the community, students will not be granted access by Residence Life & Housing or Public Safety staff outside of their appointment time.
I don't want to make an appointment. Can I just show up to campus to get my belongings?
- For the well-being of all of our community members, you may only come to campus during your approved appointment time. We cannot stress enough the importance of the appointment process in maintaining a safe environment.
- Students who arrive to campus without an appointment will not be granted access to the halls, and any attempt to access the halls or any other actions that put others at risk may be addressed through the student conduct process.
Can I bring people with me to help me move out?
Yes. However, we do ask that you do not bring more than three (3) people with you. It is also your responsibility to ensure that all of your guests wear face masks while on campus and that they abide by all social distancing and protective measures.
For health or other reasons, I cannot travel to campus. Can a family member or friend, come to campus for me and return my key?
- Yes. As you complete your Appointment prompts within the RoomRez Housing portal, you will need to identify that you cannot travel to campus so that our office can contact you directly.
- Under these unique circumstances, we are temporarily suspending the enforcement of our policy that restricts students from lending their key or ID card to someone else (Residence Hall Policies III.E). If someone is moving out for you, please make sure they have your Loyola ID and your room key so they can access your space.
I don't think everything will fit in my vehicle. Can I ship packages from StampIt! to my home address?
During select days and times, StampIt! will be open for all services including shipping of your boxed and labeled packages. Fees for shipping will be assessed by StampIt! Specific days and times will be listed in the RoomRez Housing Portal when you select your move-out appointment.
I can get to campus to pack and box my belongings. Can someone ship these items to me?
We understand that not everything can fit in your vehicle when moving out. If you are able to come to campus and pack your items in boxes and label them appropriately with Dorm Room Movers shipping labels, DRM will be allowed access to your room at a later date to collect your belongings and either store them for you or ship them to your home address (contact Dorm Room Movers directly for pricing details).
I am going to have Dorm Room Movers pack/ship/store some or all of my belongings. When will they be allowed to access my room?
In order to reduce the possibility of the wrong items being packed or moved, we will first work with all students who are physically coming to campus to remove their belongings before Dorm Room Movers is granted access to the halls. When you schedule with Dorm Room Movers, they will ask you for the "earliest ready day" when your belongings are prepared for them to pack/ship/store. This should be whatever day you "check out" of the residence halls and return your key. Residence Life & Housing will coordinate with DRM once they are able to enter the spaces.
I have hired a separate packing company outside of Dorm Room Movers. Can someone from Residence Life & Housing let them into my room?
Unfortunately, no. Dorm Room Movers is the only company that we are granting access into the residence halls. You are welcome to use another moving company, but only if you are accompanying them in the halls.
Can I bring an outside moving company with me to help me move out?
Yes. We ask you the limit any assistance to three people. But, you are welcome to bring any personal or professional support to assist you with your move. While on campus, the movers are your guests, and you are responsible for all of their actions – including ensuring they are wearing face masks and abiding by all social distancing measures. Movers are also expected to follow all standard parking regulations for reserved accessible spaces, service spaces, fire lanes, etc.
Moving Out of My Room
I lost my key! How will I get into my room?
Residence Life & Housing will make specific arrangements with anyone who has lost their key. When you begin making your appointment through the RoomRez Housing Portal, please indicate that you do not have your key. A member of Residence Life & Housing will reach out to you. Please note that students who do not have possession of their key are only permitted to visit campus during the 8am-12pm and the 12pm-4pm time slots.
I lost my Loyola ID. How will I swipe into my building?
Residence Life & Housing will make specific arrangements with anyone who has lost their Loyola ID. When you make your appointment through the RoomRez Housing Portal, please indicate that you do not have your Loyola ID. A member of Residence Life & Housing will reach out to you.
I live in a building that has an elevator. Will I be able to sign out a green moving cart?
If you live in Newman, Campion, Hopkins, Flannery O'Connor, Butler, or Hammerman, when you arrive to your floor, you should find a green moving cart waiting for you. Please wipe down the cart before and after you use. For the convenience of others on your floor, please make sure you return the cart to its appropriate floor.
When I am on campus, where do I return my room key?
After completely removing all items from your room, please complete a Check-Out Key Envelope provided at one of the key drop-off locations on campus and place your key inside the envelope in the drop-box.

If you do not have a key to return, we ask that you still complete a Check-Out key envelope and leave the envelope in the drop-box.
If my RA is not going to be present, how do I "Check-Out" of my room?
- Once you have moved all of your personal belongings out of your residence hall room and adequately cleaned the space, please login to your RoomRez Housing Portal and complete the Online Self-Checkout form to finalize your residence hall check-out.
- Access the RoomRez Housing portal through inside.loyola.edu under "Quick Links."
I've already moved all of my belongings out of my space. I just need to "check-out" and return my key. How do I do that?
- Starting May 11, you can complete the "Online Self-Checkout" form by logging in to your RoomRez Housing This will finalize your residence hall check-out. You can access the RoomRez Housing portal through inside.loyola.edu under "Quick Links."
- Please return your room keys as soon as possible.
- To return keys by mail, please tape the key(s) to a piece of paper and place in a padded envelope. Include your name, room number, and Loyola ID number for easy reference. A helpful practice is to get some sort of confirmation or tracking number and include the service you used and tracking number in the email to studentlife@loyola.edu.

Can I leave my belongings in my room if I will have the same housing assignment in the Fall 2020 semester?
No. We cannot permit students to do so as the summer is a time for deep cleaning of all residential spaces. All of our rooms need to be emptied before our Environmental Services staff are able to enter and clean.
Donations
I have non-perishable food that I'd prefer to donate instead of moving. Is that possible?
- Join Loyola in its commitment to our neighbors. Help us increase food access in our neighborhood by donating all NON-PERISHABLE food items in your room/apartment to GEDCO CARES.
- A partner of Loyola for 30 years, Govans Ecumenical Development Corporation (GEDCO) CARES program is located just a few blocks from our campus on York Road. GEDCO CARES connects local families with resources like food and emergency financial assistance. Last month, more than 750 people visited the CARES Food Pantry for perishable and non-perishable groceries – a 45% increase since the virus outbreak. CARES is now offering food bags twice a month to meet families' increased need.

I have items other than food that I'd like to donate. Can I leave it somewhere?
For years, Residence Life & Housing and Facilities have been grateful for all of the donations students have contributed to the Good Stuff Campaign. This year it is not feasible to provide this option. We are asking that students take all belongings with them, find a donation center outside of Loyola, or dispose in the proper receptacle outside of the residence halls.
While On Campus
Will there be anyone available during my move-out appointment to help me if I have any issues?
In order to reduce density in the halls and to further practice social distancing, Residence Life & Housing staff members will not be staffing area offices during this move-out process.
Students will be directed to call 410-617-5081 if they have any questions. This number will be remotely staffed by members of the Residence Life & Housing team throughout all moveout shifts.
How do I return textbooks?
- Students should have received an e-mail from the Loyola Bookstore with information on how to ship books back. Students will have a link to create a UPS shipping label and should use the same shipping label for all textbook returns.
- The Bookstore will have limited availability during certain move-out dates. Specific days and times will be listed in the RoomRez Housing Portal when you select your move-out appointment.
At this time, the Bookstore is unable to “buyback” any purchased textbooks.

I have packages or mail waiting for me at Stamp It!
- Stamp It! will have limited business hour availability during certain move-out dates. Specific days and times will be listed in the RoomRez Housing Portal when you select your move-out appointment.
- Additionally, students can always have packages shipped home to them anytime using their Evergreen account to pay the shipping cost.
- Contact Mail Services at 410-617-1131 or gtayd@loyola.edu with specific inquiries.
Where can I park on campus?
- All standard parking lots will be available for the duration of your appointment time. Gates will be lifted throughout the duration of move-out. Handicapped spaces, service spaces, and fire lanes will still be enforced and subject to ticketing and/or towing.
- Due to the limited number of people on campus at any given time, we encourage you to find the closest parking spot to your residence hall.
I have personal belongings in other spaces on campus (e.g. laboratories, classrooms, offices, etc.). How can I retrieve them?
- It is recommended that students contact departments directly. We cannot make any guarantees that requests will be approved for these spaces.
I have items in my room that belong to another department or office. How can I return these items?
- It is recommended that students contact departments directly for further instructions. Students are responsible for items borrowed and for the proper return of these items.

First and foremost, all of us in Residence Life & Housing want to thank you for your patience. We know many of you have been eager to retrieve your belongings.
Your health and safety and the well-being of our overall community have remained at the forefront of our decision making. While we await the stay-at-home order to be lifted in Maryland and similar orders to be lifted across the nation, we wanted to provide some additional information about how the move-out process will work when we are able to welcome students back to campus.
With your cooperation and care for each other, we are confident that this adapted move-out process will efficiently allow you to check out of your space while protecting the health and safety of yourself and your fellow Greyhounds.
Our Process
We have updated our Spring 2020 Move-Out Information website with additional information about our process. Please take some time to review the site to familiarize yourself with what we are doing and what we are expecting of our community in order to have a safe and efficient move-out.
Our Timeline
We know that the biggest question is "when can I collect my belongings and move out?" We have been diligently monitoring the status of stay-at-home orders in all of the states, counties, and cities where our students live, along with the guidance from our own governor. And, we’ve been encouraged by the progress.
We were recently granted clearance from the Maryland Higher Education Commission to allow our Maryland residents to return to campus, and we are grateful for the over 400 students who have already scheduled appointments.
Given the current trajectory for Maryland as well as numerous states who have already lifted orders or will soon be lifting orders, we are anticipating that another 1,200 students will be able to sign up for appointments to move out.
- By May 18, students who live in approved states will be invited to schedule an appointment through their RoomRez Housing Portal (Accessed through InsideLoyola.)
- Appointments will be available as early as June 1 and will run for approximately two weeks.
- For the well-being of all of our community members, you may only come to campus during your approved appointment time. We cannot stress enough the importance of the appointment process in maintaining a safe environment.
- Students who arrive to campus without an appointment will not be granted access to the halls, and any attempt to access the halls or any other actions that put others at risk may be addressed through the student conduct process.

Students, PLEASE keep an eye on your Loyola email. We will be sending invitations to schedule appointments on a state-by-state basis starting next week. Please note that not all students will be contacted at this point in our process as a portion of our students reside in areas that have indefinite stay-at-home orders. We will continue to update our website as we invite additional students to campus.
Finally, we continue to monitor updates from states/regions whose executive orders do not currently have end dates.

Our Packing, Storing, Shipping Partner – Dorm Room Movers
For those students who would prefer not to personally travel to Loyola, we've coordinated with Dorm Room Movers to allow their movers (who have been background checked) access to pack your items for storage and shipping. They will complete the packing on a live 3-hour Zoom call time slot. You’ll receive a link to the recording of their time in your room once they've completed your move.
Once the in-person moving appointments are complete, we will work directly with Dorm Room Movers to schedule a day and time for them to access your room. Once scheduled, you will receive a 3-hour timeslot for your Zoom call. If you have questions about the setup process, we encourage you to use the Dorm Room Movers live chat option instead of calling given they are currently managing high call volume with a reduced staff.
Before you head to the Dorm Room Movers website, we want to highlight the following pieces:
- In order to reduce the possibility of the wrong items being packed or moved, we will first work with all students who are physically coming to campus to remove their belongings before Dorm Room Movers is granted access to the halls. This will likely occur later than June 15.
- When setting up your pickup, the "Earliest Date We Can Pickup" field should be set as the first date your items will be available for pickup. This is not the date Dorm Room Movers is picking up your items. This information will be used to optimize routes/dates when scheduling.
- If you plan to have boxes shipped to you domestically, follow the instructions in your account and purchase/generate as many labels as you are willing to pay for upfront. Doing this will allow Dorm Room Movers to bring your labels with them for your pickup and expedite the shipping of your boxes. Any unused labels can be refunded by emailing DRM. Please note if you do not pre-purchase labels, delays of up to 3 weeks may occur.
- If you plan to have boxes shipped to you internationally, please email Support@dormroommovers.com as soon as you register with the subject line International Shipping Request, and include your international address in the message. DRM will not be able to ship your items internationally or ensure safe passage through customs if these steps are not taken prior to pickup. PLEASE NOTE: Shipping internationally is very expensive and we advise students to store items instead.

As we wrap up classes for the semester, all of us in Residence Life & Housing wish you luck as you prepare for finals.
While our residence halls currently remain closed, we are encouraged by recently released recovery plans that provide a pathway forward.
In this update, we want to highlight two resources to assist your planning in the eventual retrieval of your belongings, as well as one request that will better help us make your move-out process a smooth experience.
We acknowledge that there are still so many unknowns right now, and your plans will likely change, but we are asking every student to complete this short three-question form. You'll simply be asked to share what your most likely intentions are for checking out of your room (I.e. personally coming to campus, having a roommate pack your belongings, etc.)
This information will help us streamline our communications with you and better ensure that you have a smoother move-out experience once we are able to open the residence halls.

Dorm Room Movers
Knowing summer storage has always been a need for many of our students, earlier this semester, Residence Life & Housing entered a partnership with Dorm Room Movers, a private company specializing in packing, shipping, and storage solutions for college communities. While we intended to work with Dorm Room Movers (DRM) during our standard move-out process, we are excited to share that they have adapted their offerings to support students who may need to "move-out" remotely.
We encourage you to begin exploring their pricing options and services to see if any of their resources would meet your needs. While scheduling features are currently disabled, you are welcome to create an account with DRM now (with no financial commitment) if you would like to receive updates and discount offers from them.
A few notes and reminders:

DRM is just one option for you as you prepare to retrieve your belongings.

Once travel restrictions allow, students will have the option to schedule a time to personally come retrieve their belongings

For those students who cannot personally return to campus and who do not wish to use DRM, we encourage you to make arrangements with a roommate or Loyola friend who would be able to pack and remove your belongings.

If students are pursuing other third-party companies to assist in move-out, please be aware that DRM is the only company that Residence Life & Housing will be able to grant access to your space without you or a roommate being physically present.
As noted in previous emails, all of our decisions are based on state guidelines, as well as our own commitment to the safety and well-being of you and your community members.
Last Friday, Maryland Governor Larry Hogan released guidelines and milestones that would allow for travel restrictions to be lifted in the not-too-distant future. You can access the plan along with other Maryland resources on Govenor Hogan's website. We encourage you to stay tuned to future announcements from Governor Hogan, as well as your own local authorities.
Once travel restrictions are lifted in Maryland AND a student's home locality, we will begin reaching out to applicable students to schedule times to come to campus. As stated in previous communications, all move-outs will be done on an appointment basis. This process will allow us to limit the number of people on a floor at any given time and ensure we can all practice safe social distancing.
Based on current projections in Maryland, we are hoping to provide more comprehensive details on the appointment process and move-out process in our next communication which will be sent out during the week of May 11.

We wish you all a happy Easter and a joyous Passover during these turbulent times. We hope you are finding ways to creatively and virtually "gather" with loved ones.
We continue to monitor state and federal guidelines related to COVID-19 as it relates to residence hall move-out. Like many governors across the nation, Maryland's Governor Hogan has issued a Stay at Home order for the state of Maryland with no indication of when it might be lifted.
For the time being, Loyola's residence halls remain closed.
We will send another update during the week of April 27 with any additional information we have regarding when students will be able to access their rooms to remove belongings. (If you've missed any of our past e-mails, you can also find them on the Residence Life & Housing Spring 2020 Move Out Information page.)
We also want to take this opportunity to share gratitude for the clean state many of our students left their spaces when they departed back in March. We also know that residents originally only anticipated a two week absence. Given the extended duration, our partners in Facilities Management have been re-entering all of the residential spaces to dispose of any items in the kitchen, living room, and bedrooms that are perishable or items that could create an unsanitary condition and/or attract pests. Frozen items and those items stored in cans, bottles, and jars will be left in pantries, refrigerators, and freezers.

We also know that many students have raised questions about housing and board refunds. We hope these questions were answered by the April 3 communication you all received from Mike Mansfield, Executive Director for Financial & Auxiliary Operations. All of us in Residence Life & Housing hope that you are staying healthy – physically, mentally, and emotionally – as we adjust to remote learning, working, and ongoing changes in our lives.
We are thankful for how quickly so many of you left campus, departing for what was expected to be a short time away in the midst of the semester. As we now know, you will not be living on campus for the rest of the semester. We continue to monitor local, state, and federal guidelines as we create and adjust options for all of you to access your belongings and fully move out of the residence halls. We want you to be able to return to get your belongings, but we must work to ensure the health and wellness of our community and the greater communities to which we belong.
We had hoped to provide a general timeline of when students would be able to access their spaces. Since our last communication on March 18, 2020, a lot has changed in Maryland and the United States. Many of you currently live in cities or states that are under “Stay at Home” orders. In Maryland, Governor Larry Hogan announced an executive order directing all non-essential businesses to close, and he extended public school closures through at least April 24, 2020. On March 23, Fr. Linnane closed Loyola’s campus to everyone except those who are designated as authorized personnel.
For these reasons, we are doubtful that Loyola students will be able to return to campus to retrieve belongings before May at the earliest.
We know that for a number of our students, Loyola is your primary home. For those who have already been working with the Student Development staff for assistance during this crisis, please continue to communicate directly with those individuals so we can support you during your absence from campus.
For those who are understandably frustrated by the inconvenience of our current situation, please know that these decisions are not made lightly and always with your health and safety in mind. We know some students are eager to retrieve their belongings, and we will make plans that allow you to do so once public health experts and local and state officials determine that it is safe.
While we wait for conditions in Maryland and across the country to allow for a campus move-out, we wanted to share the following:
Know that your belongings will remain secured in your residence hall space.
- Over the past two weeks, Residence Life & Housing staff and generous campus partners have entered each room to secure windows, empty full trash containers, remove perishable items from countertops, and lock doors.
- Over the next several weeks, Facilities will be entering apartments to conduct routine and preventive maintenance, and to remove any remaining food items that could be attractive to pests when left unattended.
Anticipate returning to campus on an appointment basis at a later date.
- Residence Life & Housing anticipates providing a two-week window when residents can access campus
- Appointments should allow you to select a day that is convenient to come to campus while ensuring that the number of people in the buildings at any given time is limited.
Identify ways to make your move-out as efficient as possible.
- Determine with family and friends who is best situated to assist you with a move from a travel and health standpoint.
- Begin gathering boxes and packing supplies.
- For those of you who may not be able to travel back to campus due to distance or finances, begin having conversations with roommates, friends, or local family who may be able to pack and store belongings for you.
- Residence Life & Housing has also established a relationship with an external partner that may be of assistance with packing and/or storage. We will be providing more details in future communications.

As you were notified today. Loyola University Maryland is extending on-line only instruction for the remainder of the Spring 2020 semester. The Office of Residence Life & Housing is in the process of creating a move out process for students to return to campus and retrieve their personal belongings. This process will be informed by federal and state guidelines and recommendations regarding travel, gatherings, and social distancing.
Once this is finalized, we will communicate this plan with all of you. We want to ensure that we have the staff and resources available to provide a smooth move out experience for all students. This process normally takes place over a few weeks, allowing students to pack items, and more out of their room over several days. We understand this revised process may present some challenges and we want to have a plan to mitigate as much of this as possible.
To help communicate this process Residence Life & Housing will provide updates on our Residence Life & Housing website.
At this time, we are NOT able to accommodate students who show up to campus to collect items. We do not have staff on campus who will be able to open and provide students access to their rooms, as we are following guidelines regarding reducing density, social distancing, and teleworking.
We understand that many students are eager to return to campus to collect their belongings; however, we want to ensure we are planning accordingly to keep all of our community members safe and healthy. This must be difficult news for you to receive, and we look forward to welcoming you back to campus as soon as it is safe to do so.
