Motor Pool

Departments can reserve vehicles from Loyola's Motor Pool for approved University use.

Request a Vehicle

Motor pool reservations are done through our Motor Pool Reservation Request. After a request is submitted, you will receive a confirmation email that the system has your request. You will receive a confirmation email once your request has been reviewed & approved. .

Motor Pool Hours of Operation

Monday through Friday 8:00 a.m. - 5:00 p.m.

Kiosk is available 24/7 for vehicle pick up & return.  Vehicle keys must be picked at the indicated reservation time and no later than 30 minutes after the scheduled reservation.

Summer Hours

Monday - Friday:  8 a.m .- 4:30 p.m.
Saturday and Sunday: closed

Obtaining Driver Clearance

All drivers must complete the Driver Clearance process (on Inside Loyola) to drive a motor pool vehicle. Once approved, the driver must review Motor Pool's policies and emergency protocols.

Picking Up The Vehicle

When picking up a motor pool vehicle, you will use the touchscreen kiosk in the lobby of 5104 York Road. Once logged in, you will see your reservation to accept.  Once accepted, the keybox to the right of the touchscreen will unlock and you must push up the bottom lever & pull the door open toward you.  Your vehicle key will be have a LED illuminated to the right of your keys.  Turn the key to the left & pull out of the slot.  Your reservation is now live within the system.

If a motor pool request has to be canceled or you are running late either checking in or out a vehicle, please call ext. 5396.   

Returning A Vehicle

Using the touchscreen kiosk again, once logged in, you will touch "Signing In" a vehicle.  Your reservation will pop up; before accepting and finalizing, you must enter the ODOMETER reading from the vehicle.  This is not the number of miles you drove the vehicle, but the actual number of miles shown on the master odometer.  Once that has been accepted, the key box will unlock as it did when picking up the vehicle and you put the small key into the open slot next to the illuminated LED and turn to the right.  Close the keybox door and your reservation return is complete.
