All new employees should complete the Self‑Guided New Employee Benefits Orientation within their first two weeks. You may receive your Benefits Election task in Workday before or during the orientation; however, reviewing the orientation first is strongly recommended to help you understand your benefit options, key deadlines, and enrollment steps. Benefits Enrollment

Enrolling in benefits is an important step in securing coverage that supports your health, financial security, and overall well-being. During the enrollment period, you’ll have the opportunity to review available plans, select coverage that best fits your needs, and ensure your dependents are properly enrolled. The plan year runs from July 1 through June 30. Currently enrolled employees can make changes during open enrollment unless they experience a qualifying life event that allows adjustments outside of the enrollment period.

New employees will receive a welcome email and a self-guided benefits orientation link at the end of their first week of employment. Once Workday onboarding is complete, they will receive an enrollment task to finalize their selections.  Please contact benefits and wellness office at 410-617-1365 with questions. 1095-C Health Coverage Tax Documents

Form 1095‑C Availability Notice
In accordance with IRS guidance under the Paperwork Burden Reduction Act, employees may request a copy of their Form 1095‑C, which reports employer‑provided health coverage offered during the tax year. Employers are permitted to meet the IRS furnishing requirement by posting this notice and providing the form upon request, rather than automatically distributing it. 

How to Request Your Form 1095‑C
You may receive a copy of your Form 1095‑C at any time by clicking the request 1095-C link below. Your request will be processed, and your form will be furnished as soon as possible but no later than 30 days. If you have questions, please contact our office at 410-617-2354.

About This Notice
This notice serves as the “clear, conspicuous, and accessible” posting required by the Internal Revenue Service for employers electing the alternative method of furnishing Forms 1095‑C.  
It must remain available on this website through October 15 of the year following the applicable tax year.

Open Enrollment  

Loyola's open enrollment season is a two-week period that runs from late April through early May each year. A Workday link is emailed to all benefits-eligible employees on the first day. Announcements and reminders are sent via email and posted in LoyolaToday throughout the 2-week period.

Once open enrollment closes, changes are not allowed unless the employee becomes eligible due to a Qualifying Life Event

Benefits at Separation

When an employee separates from the University, it’s important to understand how this change affects their benefits. Employees enrolled in Loyola’s medical, dental, and vision plans will remain covered through the last day of the month in which their employment ends.

After separation, employees and their enrolled dependents will receive a COBRA enrollment packet. COBRA offers the option to continue the same benefits coverage after their employment ends. Enrollment in COBRA is not automatic, employees who wish to maintain coverage must actively enroll and respond to the COBRA administrator within the applicable enrollment deadline.

Vacation Pay Out

Administrators and Biweekly staff employees will receive payment for any remaining vacation accruals as soon as practicable following their final regular paycheck. Vacation payouts are handled by the Payroll Office in accordance with University policy and payroll processing deadlines. Employees should ensure all accrued vacation balances are up to date before separation to facilitate timely processing.
